Property Databases
Why Have a Property Database?
Most of the time the simple but primary answer
to this is: To help increase your revenue. This would be through
raising more money and/or by reducing costs. If the database does
not do that then you need to find out why it is not working for
you or whether indeed it is worth having it.
- Is it the database's limitations?
- Un-trained users?
- Too difficult/costly/time-consuming to use?
Of course, even if your property database is
not helping you increase your revenue, there are other reasons for
having a general database which can make it worthwhile, such as
holding other information apart from property data, or seeing it
as an investment for the future.
From a broad perspective, there are two general
areas of benefits in a property database: operational benefits,
and analytical (or 'marketing') benefits.

Operationally, a property database must let you
record details about your properties and clients and perform some
standard functions (such as recording contact details/history, preparing
letters, producing fundamental reports etc.), but it should also
give you more knowledge about your prospects and let you use this
information to raise more money and reduce costs.
It could help you plan ahead, monitor your marketing
activities or target specific developers, areas or other niches.
In many respects, a property database is a marketing
tool - you are, after all, marketing your business to your existing
and potential clients.
